To Get There, IMPORTANT!

 

From South

Come along King George Hwy and turn right after intersection at 96th. You will see school parking lot and signs. Follow the signs and what the parking attendants guide you to.

From North

Take a right at 94th intersection and go around Surrey Memorial Hospital till you reach 96th Ave. Take a left on 96th to the intersection at King George Hwy. Take a left onto King George Hwy at the intersection to front of school and take a right into parking lot where you’ll see the attendants to guide you. Sounds complicated but its not. We'll see you there.

 

 

Set-up time

Loading is accessible from 8:45am till 9:30am. Exhibitors will be able to set up displays from 9:00am – 9:45am on Saturday October 24th. The Fair will open to the public at 10:00am prompt and the Dignitaries Welcoming Ceremony will be at 12pm with closing at 3pm.

 

Take-down time

YOU MUST BE SET UP TILL 3PM!. NO EARLY TAKE DOWNS! Exhibitors will be able to take down displays at 3:00pm ONLY, on Saturday October 24th.  As we have to vacate the school by 4:00pm sharp, it would be greatly appreciated if all Exhibitors can take down and fold up their table for us and place it with the other stacked tables

 

Tables

All tables must be staffed from 10:00am – 3:00pm. You should try and have two people at your table so you can be spelled off for a quick break. 2 chairs will be supplied for each table.

 

We have over 48 Exhibitors so the School will be full.  When you arrive, look for your numbered/named table.  All tables will have a colored covering and the table sizes range from 6’ – 8’ in length and 2’ – 3’ in width. Some large Exhibitors need to be by a wall for their displays or power access, so we had to bear that in mind when allocating tables so it is important you tell us your needs right from the start. Be assured that everyone has a good table allotment.  Exhibitors are distributed in the studio in random order, so as to have a good distribution of displays with lots of variety in all directions. LOOK for your name or number.

 

Clean-up

We will be collecting garbage throughout the day, but at the end of the day it would be appreciated if all Exhibitors would take any garbage in their area to a nearby garbage can and any recyclables with them.

 

Parking

When Exhibitors arrive in the morning, they may want to park near the building to unload.  There are approximately 4 car spots in the loading area, however, once unloaded please move your car into the main parking area to ensure sufficient easy access parking for the public, all Exhibitors are asked to park at the far side of the parking area.  There will be parking volunteers to direct you. 

 

Emcee

Your host will do the emcee services for you by introducing the dignitaries and entertainers, and he/she will make announcements that any of you want to make throughout the day.  If you have anything going on at your booth and would like to have an announcement made, just feel free to let him/her know ahead of time so we can making the timing arrangements.

 

Entertainers/Musicians

Are being supplied by the White Rock Blues Society. Please report to Fair Coordinator Victoria Clements

 

Dignitaries

The Official Opening Ceremony with the politicians will be at 12:00pm in the main hall.

Please report to Community Liason Anthony Intas. Dignitaries are to arrive at 11:45am to get set for their noon line-up.

 

Door Prizes

It appears that nearly all Exhibitors will have a prize on display at their booth.  Please ensure that you have your own entry forms ready for people to fill in. Winners do not need to be present to win, but the Exhibitor will be responsible for calling and delivering the prize to the winner. We suggest that you have 500 entry forms ready in anticipation of a large crowd (we hope).

 

Goodie Bags

Peace Arch Community Services and Yasmin Ali of The Medicine Pharmacy Shoppe have generously donated small gifts for the first 100 goodie bags for the public. If you have anything such as small items or discount brochures that you would like to contribute to those bags, please give Victoria Clements a call at 604-722-2914 before Oct 9th to arrange to go into the bags.

 

We have 100 goodie bags in total for the general public on a first come-first served basis.  We ask that Exhibitors understand that we do no have any available for you, but if any are left at the end of the day, we would be pleased to give you one.  The public will be asked to fill in an Evaluation Form as they leave the Fair so we have statistics and suggestions to work from for next year.

 

Lunch

We encourage you to support the concession provided outside the main hall in the tents. Proceeds will go back to the North Surrey Lions. They will have reasonably priced healthy snack items for sale.  If you prefer a bagged lunch, packing a healthy sandwich and drink is advisable. Your host, Peace Arch Community Services, will provide free coffee throughout the day for all Exhibitors and the public.

 

Advertising

We will email you a flyer and web link. It would be appreciated if you could please post the flyer in your agency or business for us, as well as make copies to give to your clients and/or email your customers with the promotional information and our web address for the Fair.  We have also posted many posters in the community in various locations on bright green paper and encourage to print some off and post some up yourselves in your area to promote the Fair.

 

We will have ads in the Peace Arch News and Surrey Now. We also have asked for notices in the events sections of the Peace Arch News, The Leader and the Surrey Now over the following weeks leading up to the Fair.

 

Volunteers

As you know we can’t put on an event like this without volunteers. We have been so lucky as to have 26 students volunteer from QE for the position.
